What Is an Invoice and What Should It Include?

An invoice is a document you send a customer to request payment for goods or services you have already provided. It records who is billing whom, what was delivered, what it costs and when payment is expected.

A usable invoice normally contains these parts:

  • Seller details: your name or company, email and mailing address.
  • Client details: the person or company being billed, with an email and address.
  • Invoice number: a unique reference so both sides can find the invoice later.
  • Dates: the issue date and the due date.
  • Line items: a description, quantity and rate for each product or service, plus the amount for each line.
  • Totals: subtotal, tax and the final amount owed.
  • Payment terms: how and when to pay, and any note you want the client to see.

The amount on each line is the quantity multiplied by the rate. The subtotal is every line added together. Tax is the subtotal multiplied by your tax percentage, and the total is the subtotal plus tax.

How to Use the Invoice Generator

You fill in one form from top to bottom and then open the preview. Here is the full process:

  1. Under From (Your Details), type your Company / Your Name, Email and Address.
  2. Under Bill To (Client), enter the Client Name / Company, Client Email and Client Address.
  3. Set the Invoice # (it starts as INV-001), then check the Date and Due Date. The date starts as today and the due date starts 30 days later. Change either one if your terms differ.
  4. Pick a Currency from the list: USD, EUR, GBP, JPY, INR, AUD, CAD or BRL.
  5. Under Line Items, write a description, quantity and rate for the first row. Click Add Item for more rows. The trash icon removes a row, though one row always stays.
  6. Enter your tax percentage in the Tax field (0 to 100). Subtotal, tax amount and total update as you type.
  7. Add Notes / Payment Terms, then click Preview & Print / PDF. In the print dialog, choose your device's Save as PDF option to get a file, or print on paper.

Worked Example: Invoicing a Web Design Client

Say you are a freelance designer billing a client for a small project and your local sales tax is 8%. You enter the following rows in USD:

DescriptionQty x RateAmount
Website design1 x 1200.00$1200.00
Blog post writing4 x 75.00$300.00
Hosting setup1 x 50.00$50.00

The subtotal is 1200 + 300 + 50 = $1,550.00. At 8% tax, the tax amount is 1550 x 0.08 = $124.00. The total due is $1,674.00.

In the Notes box you might write "Payment due within 30 days by bank transfer. Late invoices may be charged interest." Because the due date already defaults to 30 days after the issue date, the note and the date agree with each other. That consistency prevents most payment disputes.

How to Read the Totals and What to Fix

The three numbers beside the form tell you whether the invoice is correct before anyone else sees it. Check each one against your quote or contract.

Subtotal looks too low or too high

Look at the Qty and Rate columns first. A quantity left at 0 makes a line worth nothing, and a rate typed with a comma or a currency symbol may be read as zero. Enter plain numbers such as 1200 or 75.50.

Tax amount is not what you expected

The Tax field is a percentage of the whole subtotal, not a fixed amount. Enter 8 for 8%, not 0.08. If you do not charge tax, leave it at 0 and the total will equal the subtotal.

The total shows the wrong symbol

The Currency menu changes the symbol shown next to the amounts. It does not convert prices. If you quoted in euros, choose EUR and enter euro prices.

Yen amounts show decimals

Amounts display with two decimal places, so a yen price of 5000 appears as 5000.00. Treat the decimals as zeros, or mention the currency clearly in your notes.

How Should You Number Invoices and Set Due Dates?

An invoice number is a unique reference, and the simplest system is a running sequence such as INV-001, INV-002 and INV-003. The tool does not count up for you, so change the Invoice # each time you create a new one.

Many businesses add a year or a client code, for example INV-2025-014 or ACME-007, so invoices sort neatly in a folder or spreadsheet. Pick one pattern and keep it. Gaps and duplicates make it harder to answer an accountant or a client who asks about a specific bill.

For the due date, common terms are due on receipt, 14 days, 30 days or 60 days. The default of 30 days is a widely used standard, but you should match whatever your contract says. Shorter terms usually mean faster payment, and a clear date works better than vague wording like "soon".

Who Is This Invoice Maker For?

It suits anyone who needs a professional-looking bill without setting up accounting software. These are the situations where it fits best:

  • Freelancers and consultants who bill a few clients a month and want a PDF to attach to an email.
  • Small shops and tradespeople who need a printed invoice to hand over at the end of a job.
  • Agencies and marketers billing hours plus ad spend. If you report on campaign costs, the ad metrics calculator helps you work out CPA or ROAS figures to describe in your notes.
  • Side-hustlers who sell occasionally and only need a clean record for the customer and for their own files.
  • International sellers who bill in euros, pounds, rupees, Australian or Canadian dollars, yen or reais.

If you want to review how your invoices add up over time, enter the totals into the average calculator to see your typical invoice value.

Best Practices and Common Mistakes

Most late payments come from small errors on the invoice itself. These habits reduce them.

  • Verify the client's email and address. A typo sends the invoice to the wrong person. If you are collecting many addresses, the bulk email validator can check their syntax and domains first.
  • Describe each line specifically. "Logo design, 3 concepts, 2 revisions" is clearer than "Design work" and prevents questions.
  • State the payment method. Put bank details, a payment link or accepted methods in the Notes box so the client does not need to ask.
  • Check the due date. If you change the invoice date, change the due date too, since they are separate fields.
  • Preview before you send. Open Preview & Print / PDF and read the whole page, including the totals and the notes.
  • Keep a copy. Save every PDF with the invoice number in the file name, such as INV-014-Acme.pdf.

If the PDF does not save

The preview opens as a print-ready page. If nothing happens, check that your browser is allowing pop-up windows for this page. In the print dialog, set the destination to Save as PDF instead of a physical printer.

Limitations to Know About

This tool is built for straightforward invoices. It uses one tax percentage for the whole invoice, so if some items are taxed at a different rate than others, create separate invoices or fold the tax into your rates. It does not convert currencies, remind clients about overdue payments or track whether an invoice has been paid.

It also does not tell you what tax rules apply to you. Requirements for tax IDs, mandatory wording and e-invoicing differ by country, so confirm them with your accountant or local tax authority. You can add extra details such as a tax number to the Notes / Payment Terms box.

For other practical helpers, browse the online calculators and utilities collection. If you sell physical products and want a scannable label for stock, the barcode generator is a handy companion.

A good invoice is clear, accurate and easy to pay. Fill in the form above, check the totals against your quote, and preview your invoice to save it as a PDF you can send today.

Frequently Asked Questions

Is this invoice generator really free?
Yes, the invoice generator is free to use and does not ask you to sign in. You fill in the form, preview the invoice and print it or save it as a PDF. You can create as many invoices as you need by changing the details.
How do I generate an invoice and save it as a PDF?
Fill in your details, the client's details, line items and tax, then click Preview & Print / PDF. In the print dialog that opens, choose Save as PDF as the destination instead of a printer, and save the file.
How do I generate invoice numbers?
Type your own number in the Invoice # field. It starts as INV-001, so increase it by one for each new invoice, for example INV-002. Some businesses add the year, such as INV-2025-002, to keep records tidy.
What is an invoice number and why does it matter?
An invoice number is a unique reference that identifies one invoice. It lets you and your client find, match and pay the right bill. Using a consistent sequence also makes bookkeeping and tax record checks much easier.
How does the invoice tool calculate tax and totals?
Each line amount is quantity times rate, and the subtotal is all lines added together. Tax is the subtotal times your tax percentage, and the total adds the two. For a 1,550 subtotal at 8% tax, the total is 1,674.
Why is my invoice total wrong or showing zero?
Usually a quantity is 0 or a rate contains a symbol or comma, so that line counts as zero. Enter plain numbers like 75.50, and type tax as 8 for 8%. The totals update as you correct each field.
